Adobe Connect: Supporting Virtual Summits and Breakouts

A number of agencies I support have their own internal, Adobe Connect user group.  I was privileged to recently be a guest speaker at an agency’s user group meeting and hear how one organization was leveraging the tool.  Their thoughtful use of Adobe Connect technology to simulate their previous face-to-face summit blew me away, and I wanted to share it with all of you.

Because this organization supports a national community, they put on various summits to disseminate information and share ideas.  This past spring, they decided to go virtual and provide the same experience to everyone online.  This included a virtual lobby with a look and feel similar to that which you would find at a face-to-face event.  Within the lobby area there were trivia questions, relevant tweets (via TwitterConnect) and an easy way to access the agency’s help/information desk.

As a participant of the virtual summit, you had access to three unique rooms:

  1. Summit Central
  2. State Caucus (breakout room for your state)
  3. Help/Information Desk

Summit Central was used to kickoff the event and allowed leaders to give opening and closing remarks to all summit participants.  The room was also used for large, nationwide discussions before participants navigated to their respective state caucus.  To ensure smooth navigation to the breakout rooms, a Map pod was developed and allowed attendees to select their state.  State caucus rooms were used for smaller group discussions and state planning purposes.

The Help/Information room was always available for online attendees experiencing any difficulties or to assist with questions along the way.  Subject matter experts and help desk personnel were available throughout the online event.  Participants could easily navigate to this room via the Help pod at anytime.

Overall, the event was a success and allowed participants to join from any location.  Going virtual saved time, money and the environment!
